Chicago Office Receptionist/Project Assistant

Nicolaides Fink Thorpe Michaelides Sullivan LLP is seeking a Receptionist/Project Assistant with two to four years of office experience to join our growing Chicago office and become an integral part of the firm's administrative and legal support team. This dual support role performs a wide variety of administrative and legal tasks while demonstrating the ability to exercise good judgment, multi-task, and meet deadlines.

This is a full-time, in-office position, Monday through Friday from 8:30 am to 5:00 pm; a 37.5-hour work week. The anticipated salary range for this position is based on a 37.5-hour per week schedule as well as experience; salary range of $25-27 per hour, non-exempt and eligible for overtime pay.

Receptionist Responsibilities:

  • Coordinating conference room, visitor office reservations and providing AV support for meetings;
  • Managing the security access system, ID badges and guest registration;
  • Handling catering orders and event set up/clean up;
  • Greeting visitors, accepting deliveries and coordinating with outside vendors;
  • Updating the firm phone directory and office floor plan;
  • Managing building service tickets and maintenance requests;
  • Notarizing documents;
  • Answering and routing calls;
  • Providing occasional backup support to Office Services.

Project Assistant Responsibilities:
 
  • Supporting attorneys and staff with administrative requests;
  • Entering attorney time and reimbursement requests;
  • Faxing, printing, and mailing documents;
  • Downloading, renaming and saving documents according to firm protocols;
  • Special projects as needed.

Knowledge/Skills/Abilities Required:
 
  • Ability to work in the office Monday through Friday
  • Previous administrative experience working in a law firm;
  • Strong technology skills;
  • Proficiency in Microsoft Office and Adobe Acrobat Pro;
  • Ability to think on your feet; perform at high levels and successfully adapt to changing priorities and working demands;
  • Notary public certification;
  • Ability to communicate clearly and concisely, both verbally and in writing;
  • Excellent customer service skills;
  • Strong attention to detail and excellent proofreading skills;
  • Ability to work well in a team environment with a high degree of professionalism;
  • Ability to prioritize and manage multiple assignments under time pressure;
  • Ability to take initiative and follow through on projects.

Education/Experience/Certifications:
 
  • Minimum AA degree; Bachelor’s degree desirable;
  • 2 to 4 years of administrative experience.
