E-Billing Specialist 

Nicolaides Fink Thorpe Michaelides Sullivan LLP seeks an E-Billing Specialist to join the firm’s Chicago office and become an integral part of its administrative support team. The E-Billing Specialist is responsible for handling escalated e-billing issues and appeals for the firm’s e-clients. This role works closely with the billing manager, billing staff, and attorneys to resolve e-billing issues, manage rejections and appeals, and ensure compliance with client guidelines.

This is a non-exempt role, with an hourly range of $35-$45/hour. Pay is based on a 35-hour work week, with eligibility for overtime, as needed.

Who You Are

Key Duties and Responsibilities include, but are not limited to:

  • Monitors invoice status and manage rejections, reductions, and appeals to ensure maximum recovery;
  • Research and resolves invoice discrepancies by collaborating with attorneys, assistants, billing teams, and client representatives;
  • Reviews and analyzes recurring rejections to identify root causes and ensure similar issues do not occur on future bills;
  • Maintains and updates client billing requirements, rules, and vendor portal settings;
  • Manages submission and maintenance of timekeeper approvals on client vendor sites;
  • Ensures compliance with firm policies and client standards;
  • Perform other duties as assigned;
  • Ability to learn new software.

  • Highly motivated self-starter with the ability to process a high volume of electronic bills per month with minimal supervision;
  • Ability to work under pressure to meet deadlines, manage complex e-billing transactions, and effectively prioritize multiple tasks;
  • Strong attention to detail and outstanding organizational skills;
  • Demonstrates the ability to adapt and shift priorities in a fast-paced environment;
  • Requires strong analytical and problem-solving skills to identify and resolve issues independently and effectively;
  • Exemplifies excellent interpersonal and written/verbal communication skills, maintains a professional demeanor, and thrives in collaborative, team-oriented environments.

Technology:
 
  • Extensive experience with third-party eBilling platforms (e.g., Legal X, Legal Tracker/Serengeti, Legal eXchange, BillingPoint, CounselLink, Tymetrix, or similar systems);
  • Aderant Bill Blast experience preferred;
  • Strong understanding of legal eBilling processes and client billing guidelines;
  • Proficiency with Windows-based software and Microsoft Word, Excel and Outlook required; Excel work is extensive in this role.

Education/Experience:
 
  • Minimum Associate’s degree; Bachelor’s degree is preferred;
  • STEM Major or equivalent experience preferred;
  • A minimum of two years of hands-on experience in legal billing or e-billing within a law firm.
